Below is a list of the software tools we use to run our business. Some are photo-industry specific. Some are more general, but extremely useful. If you have any questions about them, let us know.
Estimating Software
This online subscription service is designed to make writing commercial photography estimates fast and easy. Before BlinkBid, we use to handwrite estimates in Word. Even with templates, the work was tedious and fraught with errors.
BlinkBid does a great job of speeding up the time it takes to write an estimate and it does all the math for you. Plus, you can share jobs with your producer or rep.
All our estimates go through BlinkBid. It’s very easy to add line items, usage terms, and payment terms. It’s pretty much the standard for commercial photographers and motion production companies.
QuickBooks Online
Accounting and Invoicing Software
QuickBooks is a great accounting software subscription service. It pulls transactions in right from your bank. You can send invoices and receive payments via credit card or bank transfer. Plus, you can even pay vendors right from the program.
Besides accounting and bill paying, we use QuickBooks for financial reports like Profit & Loss, Cash Flow, and Sales Reports, and Balance Sheets.
There are a lot of options for accounting software, but we’ve found QuickBooks the easiest and most flexible to use.

CRM (Customer Relationship Management) and Mailing List Software
This is one of our studio’s favorite tools. It’s good for photographers just as much as any business. It does two very key things: mailing list and customer relationship management or CRM
We use it to send out regular newsletters to our clients and people who joined our mailing list. We also will send special messages to segments of our customers to promote services or specials.
We also use it to manage our sales pipeline. From lead, to estimate, all the way through production and invoicing; all jobs flow through here and we never forget a customer.
There are lots of tools that do mailings and CRM, but this is the only one that does both very well at the same time. It’s a huge time saver.
